Congratulations on your acceptance into the South Carolina Watermedia Society Annual National Exhibition to be shown at City Art Gallery in Columbia SC October 6 – November 25, 2018.

Shipped paintings must be received between September 1 and September 12, 2018, to the South Carolina State Museum.

If you are shipping your painting, click here to pay the $25 handling fee for unpacking, storaging, and packing in addition to the shipping fee you pay to the shipping company for shipping to and from the show site.
Artwork must be packed and shipped professionally (i.e., UPS, FedEx, or Air Float) to ensure that artwork arrives safely. There can be no foam peanuts or popcorn used in packing and no “partial or piecemeal” boxes used for shipping. The artwork must be securely wrapped in foam or bubble wrap (or equivalent) and shipped in sturdy whole boxes. The SCWS reserves the right to refuse artwork shipped by substandard methods.
Should you wish to have SCWS ship your painting and box back after the show, you must provide pre-paid return shipping label and send it with your artwork. This can be done with FedEx or UPS. Please read the following statement carefully:
If you ship your artwork and it is chosen for the traveling show, SCWS will store your box while your painting travels the state for the year through the SC State Museum’s Traveling Show program. Make certain your return shipping label is included with your shipped painting. Your painting will be shipped to you after the traveling show has ended in October of 2019.
Hand Delivery
You may hand deliver your entry on September 13 from 10 – 4 pm or September 14 from 10-4 pm. Early and late paintings will not be accepted. Please deliver to the retail store of the City Art Gallery, 1224 Lincoln Street, Columbia SC 29201. If you hand deliver your painting and it is selected for the traveling show you will need pick it up from the SC State Museum in Columbia, SC in October of 2019. A notification will be sent with the exact dates and times for pick-up.
Presentation Requirements
- Wired and ready for hanging, framed, if required, described below. Mats (if used) must be white, off-white or pale grey.
- Maximum size is 48” in either direction, including the frame. Maximum depth (with frame) is 2 3/4” and maximum weight is 25 pounds.
- Plexiglas/acrylic 1/8” glazing (glass is not permitted) must be used for all pieces on paper or paper-like products.
- Frames must be a maximum 2 3/4” wide flat-face “museum style” (non-decorative or ornamented) natural wood (dark, light, etc., such as maple, cherry, oak, mahogany). However, NO BLACK, WHITE (EVEN WOOD) OR METAL FRAMES WILL BE ACCEPTED.
- All paintings MUST include an identification card that can be found at the bottom of this letter.
Artists’ Responsibilities
Artists may not substitute another work for an accepted work, withdraw the work once it has been accepted, or remove it during the exhibition. No changes can be made to price, title, or dimensions after chosen. Artists who do not submit their selected paintings for the exhibition will not be allowed to enter another SCWS exhibition for three years. While the juror has the final responsibility to select the exhibition and awards, the SCWS reserves the right to reject any painting that, upon arrival at the Gallery, the juror deems is significantly altered or different than the digital photo submitted for entry to the exhibition. SCWS reserves the right to return paintings deemed unacceptable or in breach of the rules in presentation of frames and/or mats.
By submitting a painting to this exhibition, the artist accepts all conditions as set forth in the entry guidelines. If a painting sells, the artist understands that there is a 30% commission payable to the SCWS.
The artist gives SCWS permission to photograph and video-tape the entry for educational or promotional purposes. Every effort will be made for attribution of work provided to the SCWS Annual Exhibition.
Paintings will be insured for the duration of the exhibition at City Art and traveling show. Neither the host facility, the SC State Museum, or SCWS will be is responsible for loss or damage to paintings during transportation of accepted works.
Gallery Exhibition
SCWS acts in the artist’s best interest to promote the sale of exhibition artwork. Copies of each artist’s statement and bio will be made available in the gallery to those who visit the exhibition.
Legal
Accepted artists release SCWS and City Art representatives from all liability with respect to loss or damage to works of art. It is suggested artists carry their own insurance at sufficient limits.

Traveling Exhibit
The SC State Museum will arrange the schedule and transportation of the 30-piece traveling exhibit to locations throughout the state. If your painting is selected for an award, your painting will become a part of the traveling exhibit. Paintings selected for the traveling exhibit must remain in the exhibit for the entire year and will be available for pick-up at the end of the exhibit schedule. Paintings included in the traveling show that are sold will be released to the buyer no earlier than October 6, 2019. Having art in the traveling exhibit is an honor and a valuable component of the overall project; thousands of visitors view the exhibit statewide.
Additional Information from the State Museum in regards to the
Traveling Show
Although not requirements of SCWS, framing according to the following specifications will help ensure artwork travels safely during the year.
The artwork is handled repeatedly, travels in a vertical position, and is wrapped in packing quilts. Vehicles for transport may be vans, SUVs, or rented trucks – all with various types of suspension. The artwork is transported many hundreds of miles over bumpy roads. Therefore, the frame must be substantial and built not only for looks, but to protect your art.
For pieces 20” x 30” or larger, the frame rails should be 1.5” to 2” and secured or re-enforced at the corners, very secure to the frame. For paintings on canvas, it is preferable that there is no paper backing because it is easily torn in handling.
Smaller pieces, being lighter, can use lighter framing but well secured to the frame.
Secure artwork to the mats. The State Museum inspects each piece between venues and makes minor repairs. Artwork with frames that come apart may be removed from the show while a framer makes repairs.
Return of Works
Paintings not selected for the traveling exhibit or not sold during the initial show at City Art are to be picked up beginning Monday, November 26, 2018, from 10:00 am until 4:00 pm daily until Friday, November 30, 2018, at the City Art Gallery. (A reminder will be sent). If you personally delivered your work, you must pick up or make arrangements for someone to pick up. If you shipped in, SCWS will use your pre-paid return shipping label to ship back to you.
Opening Reception
Please join SCWS for its opening reception and awards ceremony at City Art Gallery, 1224 Lincoln Street, Columbia SC 29201 on October 6 from 4:30 – 6:30 pm. A member meeting will be held prior to the reception at 3:00 pm.
